From booking to signed contract

Confirm a booking, turn it into a contract, and have it signed on the customer's phone.

Bookings arrive in one list

Website requests, phone calls and walk-ins all go into Bookings. A website request waits for you: confirm it, or decline it with a reason.

History and internal note

Each booking's detail shows its History, newest first: who did what and when, from its creation to status changes, new dates, payments, the deposit and the return. Nobody can edit it, and the customer never sees it.

The internal note is your team's private note on the booking: add, edit or clear it at any time, and see who changed it last. It never appears in emails, contracts or on your website.

Young-driver fee

If your agency charges a young-driver fee, tick Driver under … when you create the booking, or later on a pending, confirmed or active booking. The fee, the tax and the total are recalculated, and the fee prints as its own line on the contract and the invoice. If the box is ticked after the contract is signed, the contract keeps the price it was signed at and the invoice shows the fee as a change to the booking.

Create the contract

From a confirmed booking, create the contract. The customer's details, the car, the dates and the price are filled in from the booking.

  • Enter the ID type and number, and the driving licence expiry date.
  • If a detail was filled in from an earlier contract of the same customer, it is marked: check it against the ID the customer hands you.
  • Record the mileage and fuel level at pickup.

Signed on the phone

Send the signing link by email or WhatsApp, or copy it into any message. The customer reads the contract on their phone and signs with a finger. The contract then locks, and both of you can keep a PDF copy. As soon as the customer signs, the whole team sees a notification, and the agency gets an email unless you switched it off in Settings.

Print the contract and invoice

In the contract's window, choose the document language beside Print: French, the default each time, Arabic, English, Spanish, German or Italian. Print and Download PDF both use it. Labels, dates and amounts follow that language; your conditions and what you typed print as written. The legal name, IF, bank and RIB or IBAN you enter in Settings print on the invoice.

When plans change

If the customer changes the dates or extends the rental, update the booking: the price, the extras and the kilometre allowance follow. A contract that is already signed keeps what was signed, and shows what changed.

Cars with a GPS tracker

If a car has a tracker fitted by your installer, tick it in the car's form and paste the link to the installer's app: your team opens it from the Cars page. Only your team sees this, never your website. To tell renters, switch on the geolocation clause in Settings and enter your agency's CNDP authorisation number, which tracking renters requires: the contracts of cars with a tracker then include the clause, and the renter reads it before signing. With the clause on, Rentoth can also read your trackers, show the cars on a map and offer the kilometres at pickup and return: see the guide "GPS tracking".
