Returns, kilometres and extra charges

Close a rental properly: mileage, fuel, extra kilometres and anything else to charge.

4 min read ·

Record the return

When the car comes back, open the booking and record the return: the mileage and the car's condition. You can add photos of any damage. The fuel level at return is noted on the contract.

  • Choose Record the return, then enter the date and time the car came back and the odometer reading.
  • Choose its condition: Excellent, Good, Fair or Damaged, and note what you saw.
  • Add up to 12 photos of the car.

Extra kilometres

If the car has a daily kilometre allowance, the kilometres beyond it are charged at the price per extra kilometre you set for that car.

As you type the odometer reading and the return date, Rentoth suggests what to charge for the extra kilometres and for a late return, counted in days at the rental's daily price. Nothing is charged unless you add it. The odometer reading at pickup is taken from the contract when it was noted there; you can correct it in the form before saving.

Other charges

Add any other charge with a clear label: fuel, cleaning, a late return. The balance updates, and the charges appear on the invoice.

Before you save, the form shows the balance after this return. If you hold a deposit, settle it from the booking: only the part you keep is added to what the customer owes.

Each return you record or correct, and each return you undo, is noted in the booking's History, with who did it and when.
